Intelligent document processing for invoices and forms
Stop retyping paperwork, and let your team review only what looks doubtful.
Intelligent document processing reads the invoices, forms, contracts and applications that reach your inbox, pulls out the fields you need and checks them against your records. Anything doubtful goes to a person, so nothing questionable is saved quietly.

COMMON PROBLEMS WE FIX
Paperwork problems intelligent document processing is built to solve
Document handling looks small until it fills the whole week. These are the paper-shaped worries we hear, with what we set up for each.
01
“We key supplier invoices into the accounting system, line by line.”
WHAT WE DOWe collect invoices from a dedicated inbox, read the supplier, dates, totals and line items, compare them with the purchase order or supplier record, and create a draft entry for your bookkeeper to approve.WHAT CHANGESYour bookkeeper checks drafts instead of typing them, and mismatches are flagged before anything is paid.
02
“Every supplier's invoice looks different, and our old template tool keeps breaking.”
WHAT WE DOTemplate-based capture needs one rule per layout. We use a language model that reads each document by meaning, then test it on a pile of your messiest real samples so we know where it struggles.WHAT CHANGESA new layout stops being a project, and you know in advance which kinds still need a person.
03
“I worry a misread number will slip through and cost us money.”
WHAT WE DOEach extracted field gets a confidence rating and is validated against your records, for example totals that must add up and account numbers that must exist. Anything below the threshold lands in a review queue.WHAT CHANGESDoubtful values get human eyes, and the reviewer sees the source document beside the extracted data.
04
“Applications pile up, and nobody knows which ones are complete.”
WHAT WE DOWe define what a complete submission contains, check each arriving form against that list, ask for missing pieces with a templated message and route finished files to the right person with a short summary.WHAT CHANGESFiles reach your team complete and summarized, and incomplete ones are chased instead of sitting in a folder.
WHY IT MATTERS
Let software read the paperwork and people check it
Invoices, forms, contracts and applications arrive in every shape: tidy PDFs, phone photos, scans and long emails. Someone reads each one and types the details into another system, and the workload grows with every new supplier or customer. It is slow, and tired eyes make small errors that cost real money later.
Intelligent document processing uses AI to read documents by meaning rather than by fixed position. It extracts the fields, tests them against your own records and sorts documents by how sure it is. Clear ones move on, doubtful ones wait in a review queue, and your accounting or CRM system stays the record of truth.
SIGNS YOU NEED THIS
Staff retype invoice details into accounting software
Scanned and photographed documents are handled by hand
Nobody fully trusts the numbers keyed in last month
BENEFITS
What intelligent document processing gives your back office
What changes for your business once it’s done properly.
✓01
Less typing, fewer typos
Fields are lifted from the page straight into your systems, so staff stop copying numbers by hand and transposition errors stop reaching your books.
✓02
Checks before anything is saved
Extracted data is compared with your own records and basic sense checks, so impossible totals or unknown suppliers are caught before they become entries.
✓03
Attention on the exceptions
Clean documents pass through quietly while people spend their time on the doubtful ones, each shown beside its source page for a quick decision.
✓04
A paper trail that explains itself
Every document keeps its original, the values read from it and who approved any change, which makes questions from auditors or suppliers easier to answer.

OCR turns an image of text into characters, while intelligent document processing also works out what the text means. It finds the supplier, the total and the due date wherever they appear, then validates them. OCR alone still leaves someone to decide what each piece of text is, so it often forms one stage inside a larger pipeline.
It depends on document quality and variety, so we do not quote a figure. Clean typed invoices usually read well, while handwriting, poor scans and unusual layouts are harder. We measure results on a sample of your own paperwork before launch, set a threshold for each field and send uncertain values to a person.
Yes, with care. We agree where documents are stored, which provider reads them and how long copies are kept, and we can choose providers that offer data controls or a private setup. Access follows roles, and the original file stays in your own system. We work alongside your counsel on privacy duties such as PIPEDA.
Keep it. Your accounting system is the record of what you owe and are owed, and that job suits traditional software that behaves the same way every time. AI is the reader in front of it: it prepares entries and a person approves them before they post. Handing the ledger to an agent would add risk for no gain.
